New Visitor Management System

As part of Loma Linda Academy’s continuing efforts to enhance security at our schools and buildings, LLA is introducing a new visitor management system which will launch February 1, 2023.
We are excited to announce that Loma Linda Academy has contracted with SchoolPass to implement a new visitor management tool for the CC-12 divisions. This also includes a pick-up carline automation tool for elementary and junior high, and automated attendance and student dismissal for junior high and high school. Not only will this new system improve the safety of our schools, it will also allow us to streamline the check-in/check-out process at each school office, as well as the dismissal process for elementary and junior high. Please see the Important Overview below to learn about each of these new tools which we will be using at LLA.


Watch for Email

All parents/guardians will receive an email to welcome you to SchoolPass and provide login information for SchoolPass. The email includes a digital ID with a  4-digit code (QuickPin), which is unique to each guardian in the family. You will need your QuickPin or your state-issued I.D. to sign your student out of school.

    Getting Started with School Pass:
    Student Early Pick-Up and Visitor Management—February 1
    • Early Student Pick-Up - A state-issued ID or your SchoolPass QuickPin or digital ID will be required to sign a student out of school. 
    • Parent Visitors - All parents will initially need their State Issued ID to check-in before accessing campus during school hours. Once you have been cleared the first time, your SchoolPass digital ID or QuickPin will be sufficient to check in when coming on campus.
    Automated Attendance & Student Dismissal—February 2023
    SchoolPass assists LLA staff and parents/guardians to manage absences, late arrivals, early dismissals, and dismissal changes. Parents and guardians can make attendance and dismissal changes for their students with the click of a button, without needing to call the office.

    Parent/Guardian SchoolPass Access 
    • Welcome Email - All parents/guardians will receive an email to welcome you to SchoolPass and provide login information for SchoolPass. The email includes a digital ID with a  4-digit code (QuickPin), which is unique to each guardian in the family. You will need your QuickPin or your state-issued I.D. to sign your student out of school.
    NOTE: We encourage you to save your digital ID on your phone to easily check-in and out using our visitor management stations
    • SchoolPass App - You will need to download the SchoolPass App to report absences and change dismissal plans for your student (s). Please follow the steps below to access SchoolPass on your device:
    1. Download the SchoolPass app on your mobile device. 
    2. You will receive a welcome email regarding SchoolPass. Please login using the credentials provided on that email to access your student’s account. 
    3. When you log in, you will be brought to your home page, where you can see your student. Please use the “+” sign to make attendance and dismissal changes on your student. Your student’s teacher and the front office will be notified of all changes.

  • Important Overview

    Visitor Management System Highlights – CC-12 Implementation will be February 1, 2023
     
    With SchoolPass, a visitor will sign in on an iPad at the school office, where they will use either their state-issued driver’s license or their unique digital ID, enter their destination, and a visitor badge with their photo will print immediately. 
    1. Visitors, volunteers, and vendors, as well as students who are late or leaving early sign in and out via an app.
      1. PLEASE NOTE: All employees bringing visitors/vendors/friends/family members on campus must ensure that their visitor uses the visitor management system prior to entering campus.
    2. Each visitor will be screened against the national sex offender list, and alerts are sent to administration for risks. 
    3. Customizable badges with photos are automatically printed at visitor check-in, and robust reporting allows LLA to see who is on campus, why and for how long.
    4. For frequent visitors, such as parents, we can issue digital IDs/mobile wallets, QuickPins and QR/barcodes to efficiently check in and check out of a building.
    5. It is important to note that the only information Loma Linda Academy will access and store in this new system is the visitor’s first name, last name, date of birth, photo and visit information (time, date, who they visited and reason for visit)
    6. The system will be used by parents to check their students in or out if arriving late or leaving early.
      1. Junior high and High School students will continue to be able to check themselves in if arriving late.
      2. Parents on all campuses are required to come into an office to sign their child out early.
     
    Automated Attendance and Student Dismissal – Implementation will be February 2023
     
    1. Automated Attendance for grades 7-12 will be implemented in February 2023.
    2. 7-12 grade students will check in to each classroom at the beginning of class, attendance will be recorded to myLLA within 5 minutes.
    3. Parents will receive an email from SchoolPass with their digital ID that they can save on their smartphone wallet (similar to a mobile boarding pass) that will allow them to check their students in and out seamlessly. Parents who don’t use or have access to a smartphone will also be provided a QuickPin ID number to allow for seamless check in and out.
    4. All parents will receive their unique digital ID during the last week of January. 
    5. JH and HS Students will receive updated ID cards with barcodes that link to their school ID in myLLA (Blackbaud).
     
    Elementary and Junior High Carline Automation – Elementary implementation Spring 2023, JH implementation Fall 2023
     
    Carline automation will allow LLA to automatically verify that students are being picked up only by those on the pickup list and keep a record of when a student was picked up, and by whom.
    1. This new system will allow parents to be able to make dismissal changes for their children with the click of a button, without having to call into the office.
    2. LLA will be able to automatically identify who is picking up each student using updated name placards that include an RFID number attached to each person allowed to pick up each specific student.
    Training is being provided for LLA staff regarding visitor management, automated attendance and carline automation.
